CompSoc Privacy Policy

A BRIEF SUMMARY

As part of your membership registration, we collect information regarding your name, email address, Student ID, your UC username, t-shirts preferences, dietary requirements, media consent, information about what you are studying, and some other information. We are required to collect and share your Student ID and UC username with the UCSA. For all other information (with the exception of information about what you are studying), they are used to identify you and your preferences/requirements, and we do not share this information outside of CompSoc. Data is stored in a secure spreadsheet and can only be accessed by the committee members.

Data about what you are studying and what level of courses you are doing is anonymized and aggregated into statistics that we show to sponsors, and prospective sponsors. This data is publicly accessible and is used in places like our prospectus (which you can find on our website).

INFORMATION WE COLLECT AND HOW WE USE IT

As part of your membership registration, we collect information regarding your name, email address, Student ID, your UC username, t-shirts preferences, dietary requirements and media consent, information about what you are studying, and some other information.

We collect your name and email address in order to identify you and to communicate with you regarding your membership.

We are required to collect your Student ID and UC username information in order to supply this to the UCSA. This information is not used within CompSoc.

We only ask for your t-shirt size if you want to get the t-shirt.

We ask for your dietary requirements so that we can ensure our catering is inclusive.

We ask for your media consent so that we know whether we can use photos and video where there is you in it on our media platforms.

We ask for what you are studying, and what level of courses you are doing to inform sponsors and prospective sponsors on what kind of student base they might be reaching by sponsoring us.

HOW WE STORE YOUR DATA

Under all circumstances, all these pieces of information are not shared outside of CompSoc, except for your Student ID and UC username which we are required to share with the UCSA, and anonymized data about what our members are studying and what level of courses they are taking.

Membership data is stored on a secure spreadsheet only accessible via a Google Workspace account within CompSoc. Only committee members have access to this spreadsheet. We make all attempts to keep this information secure and private.
